Appian: document management is an ideal field for applying AI in the enterprise

There are plenty of possible uses for AI in the corporate sector, and it is a common opinion among experts and analysts that, although Italy does not usually shine for proactivity when it comes to new technologies, this time it seems to be willing to jump on the bandwagon as soon as possible. The reason for this is that the current narrative focuses on one very important aspect: the need to gain the competitive advantages promised by AI as quickly as possible in order to avoid being cut off from a market that is running ever faster.

One of the reasons that could give an impetus to practical projects in the company is that the models are starting to give predictable and concrete results. In Italy, two of these cases seem particularly popular and have to do with document management. In a large company that is constantly in contact with its customers, for example, an AI agent system reads the mails, catalogues them, organises the contained documents in the correct way and then starts an internal process to conclude the file. The final actions are always in the hands of a human being, but the 'low labour' is carried out autonomously by machines.

Another case concerns adherence to regulations and the huge amount of reporting that governments demand from entities working in highly regulatory environments. Each regulatory body has drawn up a list of documents to be produced periodically or in response to certain events, each with its own characteristics and a dedicated formatting for the information. AI agents allow companies to continue to create internal documentation as they have always done and draw up that required by regulation automatically, respecting the required formats and retrieving information from documents already created. This means that employees do not have to be trained to work in a different way than they already do and in the case of new regulatory requirements, they only have to update the way the agent compiles the required documentation.

This is an incredible hand for companies that have to manage ever-increasing loads of documents and rules to adhere to, with technologies that also pave the way for extensive digital transformation regardless of company size.
